Using Electronic Remittance

The Electronic Remittance Upload tab contains the following sections for interacting with ERA files that are uploaded:

●     Electronic Remittance Advice - Upload section for uploading an ERA file:

o     Click Choose File to select an ERA file stored on your computer's local drive.

o     Choose the Payor that's associated with the selected ERA file.

o     Click Upload to save the ERA file.

●     Filter Criteria for searching uploaded ERA files:

o     Payor— Search for uploaded files based on a specific payor type. By default, this is set to "All Payors".

o     File Status— Search for uploaded ERA files based on the status of the file (i.e. Error, Processing, Ready).

o     Upload date as of— Search for uploaded ERA files based on a specific date. ERA files will only display if they have been uploaded on or after the date entered in this field.

●     File Upload Status section displays any applicable ERA files that have been uploaded. The following columns of data will be available for each ERA file:

o     Upload Date

o     Status

o     File Name

o     Payor

 

The Electronic Remittance Apply tab contains the following sections for posting payments associated with ERA files:

●     Filter Criteria section to search for uploaded ERA files:

o     Payor— Search for uploaded files based on a specific payor type. By default, this is set to "All Payors".

o     File Status— Search for uploaded ERA files based on the status of the file (i.e. Error, Processing, Ready).

o     Upload date as of— Search for uploaded ERA files based on a specific date. ERA files will only display if they have been uploaded on or after the date entered in this field.

●     ERA Files grid displays applicable ERA files that have been uploaded and includes the following columns of data:

§      Upload Date

§      Payor

§      Status

§      File Name

●     Remittance grid displays remittance details associated with the record selected in the ERA Files grid. This display grid includes the following columns of data for the remittance records:

o     Remittance Number

o     Payor

o     Deposit Date

o     Amount

●     Patients/Claims section displays specific patients claims that are associated with the ERA file that's selected. This display grid includes the following columns of data for each patient claim record:

o     Included?

o     Status

o     Type

o     Statement From date

o     Statement Thru date

o     Amount

o     Patient ID

o     Patient Name

o     Applied

●     Information Only sections on the right side of the screen include additional information associated patient claim file that's selected in the Patients/Claims display grid.

o     Select a Batch  (if applicable) — Includes the following columns of data:

§      Batch date

§      Amount Billed

§      Amount Due

o     Payment History — Includes the following columns of data

§      Deposit date

§      Payor

§      Amount

§      Entry Date

●     If necessary, fields at the bottom of this screen are available for entering or removing adjustments to an ERA record:

o     Adj Amt— Enter the specific amount of the ERA adjustment, in dollars and cents (e.g. "24.32", "-24.32").

o     Adj Code— Click the drop-down menu and select the corresponding adjustment code for the adjustment (i.e. Do Not Adjust, Applied Income, Contractual Adjustment, NOE Noncovered Adjustment, Other Adjustment, Patient Responsibility, Sequestration Adjustment, Write Off Balance).

o     Add/Remove Adjustment— Click this button to apply the ERA adjustment entered (positive or negative) to the selected patient claim file selected (which is associated with the ERA file selected).
