To set up program permissions for each agency associated with the employee:
1. From the Main Menu, select Administration and then click User Security.
2. Locate and click on a name in the list of employees.
3. Click the arrow beside User Security by Agency, and select the agency for which you want to set an employee's permissions.
4. Review each area of the software listed and then select the appropriate permissions that the user should have access to. Scroll down and repeat this process until all security options are established correctly for the user.
● Allow — Selecting this function allows the employee to perform the additional functions below, if selected.
● View — Selecting this function allows the employee to view the associated area of the program.
● Print — Selecting this function allows the employee to print within the associated area of the program.
● Edit — Selecting this function allows the employee to edit within the associated area of the program.
● Remove — Selecting this function allows the employee to delete or remove items within the associated area of the program.

If you do not select the Allow check box, the employee will not be able to perform any functions even though the View, Print, Edit, or Remove check boxes are selected. |
Listed below are all user security permission options that are available to enable/disable for each user:
● Admission— Allows the user to create an admission.
● AdmissionFiltering— Limits access to only those patients the user is specially assigned to in Patients / Personnel.
● Agency— Allows the user access to the Master File where the agency provider number, NPI, and Federal Tax ID reside. Permission to this option should be limited to administration and IT.
● AlertsAdminDON— Allows the user to view ALL Clinical, General, and Personnel Alerts for the agency.
● AlertsQA— Allows the user to view ALL Clinical and General Alerts for the agency plus their own individual Personnel alerts.
● Assessments— Allows the user to create assessments and orders (clinical documents).
● Bereavement— Allows the user to perform bereavement functions.
● Billing— Allows the user to perform billing functions.
● BusinessIntelligence— Allows the user to access Business Intelligence and Episode Master functionality (if contracted).
● Certification— Allows the user to create Certifications (485s).
● ChargeEntry— Allows the user to enter charges in the patient record for the claim, such as supplies.
● ClinicalSupervisory— Allows the user to sign and/or unlock documents created by other Personnel if Electronic Signature is turned on.
● DailyMileageRouting— Allows the user to run the Mileage Review Report under Tools | Comm Schedule | Mileage Review to compare Optimal vs. Actual.
● Discharge— Allows the user to perform discharges in the system.
● DocTracking— Allows the user to search for Orders, Documents, and 485s and to track information in the system under Document Tracking.
● Document Creator— Allows the user to build custom documents that can be filled out in the system.
● DocumentCharge— Allows the user to approve clinical charges that flow from the P page (within clinical documents) to Tools | Charge Verification.
● Donors— Currently not available; future functionality.
● ElectionPeriods— Allows the user to create new or modify existing Election Periods.
● firstREV— Allows users to access the firstREV interface and utilize the revenue cycle management features. Access this by clicking the firstREV tab (in Accounts | Billing) or by clicking to the top-right of any screen in the software. Applicable users must have the Allow and View boxes checked to access the firstREV account setup for your agency.
● GL Accounts— Allows the user to modify or edit Master Files GL Accounts and how they are setup in the database.
● HISAlerts— Allows the user to view all HIS Alerts for the agency.
● HISExtract— Allows the user to extract HIS files for electronic submission to CMS.
● Insurance (patient)— Allows the user to add or modify Insurance and Authorization information for a patient.
Allows the user to interact with the new Payor fields that have been made available in several screens (i.e. P Page, Scheduled Visit, "Complete" page in Scheduled Visit. Refer to the 17.2 release guide for more information on this expanded functionality.
The Allow, View, and Edit boxes must be checked for the selected user so they are able to interact with these Payor fields.
The Print and Remove checkboxes have no effect for this security item.
● Intake— Allows the user to input a patient into the Referral section.
● MAR:AdministrationDetail— Allows the user to view medication details and the ability to edit or void medications.
● MAR:Administration History— Allows the user to view the history of administered medications.
● MAR:Administrator— Allows the user administrative access to MAR features.
● MAR:MedicationAdministrator— Allows the user to view and update medications to be administered.
● MAR:MedicationScheduling— Allows the user to access the MAR Medication Schedule screen.
● MAR:MedSchedulingDischarge— Allows the user to cancel the MAR schedule from the discharge screen.
● MasterFiles— Allows the user to modify and edit most Master Files (Alerts, DME Vendors, Events, Facilities, Funeral Homes (HOS), Medication Groups, Narratives, Payors/Plans, Pharmacies, Physicians, Service Master).
● Messaging— Allows the user to send and receive system e-mails; displays the Home Screen with Messages, Schedule, and Alerts upon login.
● Patient— Allows the user access to patient records.
● PayrollExtract— Allows the user to modify and edit Payroll Extract within Master Files.
● PayrollGenerate— Allows the user to Generate Payroll Batches within Tools | Payroll.
● PayrollMasterFilesSetup— Allows the user to modify and edit Payroll Setup within Master Files.
● PayrollPersonnelSetup— Allows the user to modify and edit Personnel Payroll Setup.
● PBM— Allows the user access to the Pharmacy Module for Med Fill Imports.
● Personnel— Allows the user to establish new Personnel or modify existing Personnel records.
● PrintOfficialCopy— Allows the user to print Official Copy and record a sent date when printing Orders, F2F, POC and 485s.
● Productivity— Allows the user to access Accounts | Productivity.
● ReferenceFiles— Allows the user to access and make changes to all Reference Files, which comprise many of the drop-down menus within the system.
● ReferralSources— Allows the user to view and edit the Referral Sources Master File.
● Reports— Allows the user to access and run Reports (if billing rights are not granted the user cannot see billing or AR reports).
● Scheduling— Provides access to scheduling for the user.
● Security— Allows the user to access and edit User Security in Administration. Permissions for this option should be limited to Administrators and IT.
● Signature— Allows the user to pull his/her Electronic Signature (set up within User Security) to Clinical Documents and Orders.
● SystemControl— Provides access to System Control functions and how the system reacts. Permission for this option should be limited to administrators and IT.
5. When you finish defining the permissions for each program area, click .
6. Repeat the above steps for each agency for which the employee will need permissions.

If you select all the Mark All Security Permissions check boxes, you give the employee Systems Administrator status (i.e. the ability to add/edit/delete employees/patients in the system and set system control functions). |
