Setting up Agency Information

The agency structure is designed as an organizational structure. Your agency may set up multiple offices or branches known as parent and child. HEALTHCAREfirst will set up the organizational structure for you based on your agency set up. Please contact HEALTHCAREfirst to add new branches or offices as there is some set up that HEALTHCAREfirst must perform.

If necessary, you may add or edit agency information:

1.    From the Main Menu, click Master Files, and then select Agency.

2.    Click    to add a new agency.

3.    To edit the agency information, update and add information as needed.

4.    Ensure that the correct number of offices are entered in the Number of CAHPS Administrative Offices field (for the associated Medicare Provider Number). If this number is incorrect, you must edit the number of CAHPS administrative offices for the hospice agency.

CMS Mandate

CMS now requires agencies to report the number of separate administrative or practice offices that are associated with each Medicare Provider Number of CMS Certification Number. The offices that CMS requires agencies to report are all physicial locations where administrative work occurs, which does not include locations that only conduct patient care.

To successfully create an Electronic Billing Claim file, the Billing Provider Address must be the physical address and not a PO Box address, and must contain a nine-digit zip code with no dashes or spaces. If you do not know your office's nine-digit zip code, navigate in your browser to https://www.usps.com to look up the zip code. If your office receives mail at a PO Box, you must add the physical address to the Master File Pay-To Address tab and add the PO Box address to the Agency tab. If the office receives mail at a different address than the physical address of the agency, you must add the mailing address to the Pay-To Address tab.
