Setting Up System Control

The following are instructions on how to complete agency-specific setup under Administration | System Control, once signed in to your database at https://www.healthcarefirst.com/hcfirst/. This can only be completed by a System Administrator within the agency.

You must click Save at the top of the screen in order to keep any changes you make. There are some fields that are editable only by a HEALTHCAREfirst employee.

 

Electronic Signature

Using this feature will allow staff to electronically sign documents, which will automatically lock them. Electronic signature must be activated in System Control.

 

Medispan

This feature is automatically turned on by HEALTHCAREfirst if it was included in your contract, and cannot be edited by your agency.

 

Calendar Default Selections

By default, all calendars are set to Month View for optimal performance. It is possible to change this setting, but you may experience longer load time.

 

Messaging

This feature is automatically turned on by HEALTHCAREfirst and cannot be edited by your agency. Messaging allows your staff to send messages to each other within Enterprise Edition.

 

Alerts

Enterprise Edition offers over 200 Alerts to warn users about issues in relation to a patient, admission, personnel, or clinical documentation. Turn this on to make the Alerts feature available in your database. Once Alerts is turned on, you will need to complete additional setup in the Alerts Master File.

 

Daily Mileage Routing

This feature must be turned on by HEALTHCAREfirst. Daily Mileage Routing calculates the optimal route for personnel visiting patients. If personnel deviate from the optimal route you will be able to view it in a report format.

 

Safety Precaution Prompt

Turning this feature on will activate any safety prompts for a specific patient to automatically pop up on the screen when accessing the patient record. The user must actively click away from the pop-up to proceed.

 

Divisions

By default, this option is turned off.

 

Electronic Remit (ERA) Processing

Settings for this option are only available if you have contracted with HEALTHCAREfirst to use ERA. If this feature is contracted, by default it will be turned on.

 

Payroll

By default, the Payroll feature is set to on for all accounts. Turning this feature off will disable the ability to compile payroll data to use with your current payroll software.

 

Document Visit Date/Time Editing

By default, the Document Visit Date/Time Editing feature is turned on for all agencies. This determines whether or not users have the ability to edit the Begin/End visit Date/Time fields in the Visit Details section of locked documents (for documents that utilize the newer, enhanced format).

This setting only applies to locked documents that do not have any charges batched or billed. If charges have already been batched and/or billed, users will not be able to edit these fields (even when creating a document revision) unless the corresponding charges are reversed. Additionally, this setting only applies if the Visit Behavior is set to "Clinical Document Charge Verification" (in Reference Files | Discipline Codes) for the discipline associated witht he document, as the "Scheduling Release Process" automatically locks all Visit Details information upon release.

 

Copy Document

If this feature is turned on, specific pieces of data will flow from the last locked assessment.

 

CPO

This feature is automatically turned on by HEALTHCAREfirst if it was included in your contract, and cannot be edited by your agency.

 

SN Clinical Progress Note (B)

Your agency may choose to use this version of the SN Clinical Progress Note, which is not as comprehensive as the standard default version. However, this was originally created by another HEALTHCAREfirst client and has not been through a regulatory review, meaning we cannot guarantee its acceptance during a survey.

 

Episode Master

This feature is automatically turned on by HEALTHCAREfirst if it was included in your contract, and cannot be edited by the agency.

 

Patient Statement Custom Message

This feature allows agencies to enter custom verbiage for each line of business (123 character limit, to avoid truncation), which will display in each page footer of the Patient Statements report.
